A custom ticketing system your customers never have to learn.
Every email to your support address becomes a tracked ticket. Your team works one queue with routing, work notes, and a full audit trail; your customers just get normal, branded emails back. Built for MSPs, IT teams, and busy support desks.
Running support from a shared inbox
Email works fine for your customers. For a support team, it breaks down fast. Here's how.
What's inside the ticketing system
Everything on this page comes from a real helpdesk we've built and shipped. We keep client systems confidential, so we show illustrations instead of screenshots, but every feature described here is real and in use today.
Your mailbox becomes a queue, automatically
The system watches your existing support mailbox. New messages become tickets with a clean title, the sender as the caller, and their attachments already in place. Replies thread onto the existing ticket by conversation and raise an unread flag, so duplicates simply don't happen.
- Nothing is ever ticketed twice, even if the mailbox is polled again
- Phone numbers and names extracted from the email body automatically
- Quoted reply chains stripped so tickets stay readable
- Manual tickets for phone calls and walk-ups, with an optional acknowledgement
Every ticket shows its full history
Each ticket is a single chronological story: the customer's emails, your technician's replies, staff-only work notes, and automatic entries for every field change. Who assigned it, who bumped the priority, when it was resolved, all logged without anyone maintaining a log.
- Reply with attachments and CC from inside the ticket; customers get a normal email
- Internal work notes clearly separated from customer-visible replies
- Caller history one click away: every past ticket from that address
- Unread indicators that only clear when someone actually opens the ticket
Customers always know where their request stands
Customers get an acknowledgement the moment their ticket is created and a confirmation when it's resolved, in your brand, with your support hours and phone number. The exact HTML that went out is inspectable inside the ticket, so there's never a mystery about what the customer saw.
- Acknowledgement and resolution templates configured to your brand
- Smart suppression: log-and-resolve doesn't fire two emails back to back
- Every send, and every failure, recorded on the ticket's activity feed
- Optional customer portal with request types, if your clients want one
See your whole team's workload at a glance
Open tickets, today's volume, resolved today, unassigned count, an open-by-priority breakdown, a 7-day intake trend, and workload per technician. The morning standup happens on one screen instead of a scroll through the inbox.
- Per-agent queues with counts, so triage takes seconds
- Recent activity stream across the whole desk
- Sortable, searchable queues that remember how each person sorts
- Priorities and statuses colour-coded end to end
What makes our ticketing system different
No portal for customers to learn
Your customers keep emailing you like they always have; the system does the organizing on your side. Big helpdesk tools push customers into a portal, and most people simply won't use one.
Security handled for you
Dangerous attachment types are blocked, file previews are safe, downloads need a valid login, and an admin can't accidentally lock everyone out. These details are built in from day one.
No per-agent fees
Helpdesk software charges for every technician, every month. You buy this once and own it. Growing your team costs nothing extra.

Why get your ticketing system from Orbit Studio?
Because we don't sell a product. We build your system around your requirements, exactly the way you want it.
Built to your exact requirements
Before anything is built, we go through how your business works, step by step. The system is shaped around that. If something doesn't fit, we change it until it does.
A complete custom system
This page shows what we've already built for other clients. Your build can include all of it, part of it, or features that aren't listed here at all. If you need it, we build it.
You own it
You pay for the build once. The system, the code, and the data are yours. No monthly fee per user, and no vendor deciding what you're allowed to change.
Support from the people who built it
After launch you deal directly with the team that wrote the code. New features and changes are a conversation, not a support ticket at a big company.
How we build it
Discovery
We map how requests reach your team today: mailboxes, phone, walk-ups, and where they get lost. Clear scope and quote.
Design
We design queues, statuses, priorities, and templates around your actual support flow, not a generic one.
Build
We build and connect your existing support mailbox, then run it alongside the inbox until your team trusts it.
Launch & Support
We deploy, train your technicians, and stay on for hosting, updates, and new features as your desk grows.
Ticketing system questions
What is a custom ticketing system?
A helpdesk built for your team instead of rented per seat. An Orbit Systems ticketing build turns your existing support mailbox into a tracked queue: every email becomes a ticket, replies thread automatically, technicians work from one dashboard, and customers receive normal branded emails. You own the system, the code, and the data.
Do our customers have to learn a portal?
No, and that's the point. Your customers just email your support address like they always have. They get an acknowledgement, your technician's replies, and a resolution confirmation as normal emails in their inbox. If you want a customer portal with request types as well, we can build one; it's an option, not a requirement.
What if we need features that aren't listed here?
Then we build them. Every system is written from scratch for your team, so there's no plan tier or add-on store in the way. Tell us what you need during discovery, or even after launch, and it gets built into your system.
How does email-to-ticket work?
The system watches your shared support mailbox (Microsoft 365 in our current builds; other providers can be scoped). New messages become tickets with the sender as the caller, replies thread onto the existing ticket by conversation, attachments come along, and nothing is ever ticketed twice.
Can it route tickets to the right technician?
Yes. Tickets can be assigned manually from an agent picker, and technicians can opt into email alerts for new tickets. Assignment rules, escalations, and SLA timers are common additions we scope per build, based on how your team actually triages.
How long does a ticketing system take to build?
A helpdesk is one of the faster Orbit Systems builds: typically 4 to 8 weeks from kickoff to launch depending on scope, starting with a discovery phase that produces a fixed quote before any code is written.
What does it cost compared to helpdesk SaaS?
Helpdesk SaaS looks cheap per agent and gets expensive forever. A custom build is a one-time project plus an optional support retainer, with no per-seat fees, so the math flips somewhere in year one for most teams. We'll give you a precise quote after discovery.
