Complete custom system

Custom ERP software that runs your whole business in one place.

One system for your quotes, invoices, income, expenses, projects, and reports. Instead of juggling an accounting tool, a proposal tool, a project tracker, and spreadsheets, your team works in one place that's built around how your business runs.

Running a business on disconnected tools

If your quotes, invoices, expenses, and projects live in different places, these problems probably sound familiar.

The business runs on five disconnected spreadsheets
What was quoted, invoiced, and paid live in three places
Retainers get invoiced late, twice, or not at all
Partner splits and who-owes-who settled from memory
Subscriptions renew and receivables age unnoticed
Enterprise ERP is overkill; accounting tools automate nothing

What's inside a custom ERP

Everything on this page comes from a real ERP we've built and shipped. We keep client systems confidential, so we show illustrations instead of screenshots, but every feature described here is real and in use today.

Quotes & invoices

Quotes and invoices that look professional

Build quotes as real documents: line items with one-time and monthly cadences, payment milestone schedules, deliverables, timelines, and a reusable e-signature placed right on the page. One click converts an accepted quote into an invoice that carries everything across.

  • Auto-numbered documents with your prefix, issue and validity dates
  • Milestone presets like 50/50 or 30/30/30/10, or fully custom schedules
  • Draw your signature once, reuse it on every document
  • Download as a clean PDF, track status from draft to accepted
Automation

Mark an invoice paid. The system does the rest.

A paid invoice books the income with the right ownership splits already computed. A sale attributed to a rep books their commission as an expense at the correct rate. An invoice with a monthly line spawns a recurring plan that drafts next period's invoice on time, every time. And every automation is reversible without wrecking your books.

  • Recurring plans draft invoices, never double-bill, never silently skip
  • Un-marking a payment removes exactly the income it created
  • Splits allocated to the cent, so totals always reconcile
  • Exchange rates frozen per record: historical reports never drift
Multi-entity

Run all your companies from one login

Run each brand or legal entity in its own currency with its own ownership structure, then flip to a consolidated view for the group picture. Partner income shares, expense shares, and who-owes-whom balances are computed continuously, with partial settlements and a drill-down into every contributing record.

  • Per-entity P&L cards and a normalized group dashboard
  • Ownership percentages configurable per entity, validated to 100%
  • Settle-up flows with history, partial amounts, and full reversibility
  • One-click hide-figures mode for screen shares
Operations

Projects, tasks, and stock in the same system

A drag-and-drop project pipeline from lead to completed, task boards with checklist subtasks and assignees, and inventory with reorder alerts where your business needs stock. Because it all lives beside your financials, 'how's that project doing' and 'was it worth it' are the same screen.

  • Kanban pipeline: dragging a card updates the record
  • Task groups with priorities, due dates, and per-item assignees
  • Stock levels, cost and selling prices, low-stock flags per branch
  • Marketing campaigns with spend, revenue, and ROI per channel
Control

Catch problems before they cost you

Receivables aging buckets show who's slipping past 30 and 60 days. Subscriptions auto-expense every cycle so SaaS creep is visible. Contracts and licenses warn you before renewal dates, not after. And reports give each owner a statement your accountant will actually thank you for.

  • Receivables aging with 0-30, 31-60, and 60+ buckets
  • Every subscription tracked, categorized, and auto-expensed on schedule
  • Renewal reminders with configurable lead times per document
  • P&L, partner statements, and CSV export for any date range

What makes our ERP different

It does the next step for you

Accounting software records what you type. This system carries it forward: a paid invoice books the income, a rep's sale creates the commission, a retainer drafts next month's invoice. Less typing, fewer mistakes.

Built for owners and partners

Ownership splits, custom shares, and who-owes-who balances are part of the system, not a side spreadsheet. Every partner sees their own clean numbers.

Everyone gets the right view

Give a partner their companies, a bookkeeper read-only access, a rep just their commissions. Nobody sees more than they should.

Why get your ERP from Orbit Studio?

Because we don't sell a product. We build your system around your requirements, exactly the way you want it.

Built to your exact requirements

Before anything is built, we go through how your business works, step by step. The system is shaped around that. If something doesn't fit, we change it until it does.

A complete custom system

This page shows what we've already built for other clients. Your build can include all of it, part of it, or features that aren't listed here at all. If you need it, we build it.

You own it

You pay for the build once. The system, the code, and the data are yours. No monthly fee per user, and no vendor deciding what you're allowed to change.

Support from the people who built it

After launch you deal directly with the team that wrote the code. New features and changes are a conversation, not a support ticket at a big company.

How we build it

01

Discovery

We map how money and work move through your business: entities, owners, revenue streams, recurring billing. Clear scope and quote.

02

Design

We design the data model around your actual structure, whether that's one company or five, one currency or several.

03

Build

We build in sprints, migrate your history, and wire the automations: recurring invoices, splits, commissions, alerts.

04

Launch & Support

We deploy, train your team, and stay on for hosting, updates, and new modules as the business grows.

ERP questions

What does a custom ERP include?

Whatever your operation actually needs. A typical Orbit Systems ERP covers quoting, invoicing, income and expense tracking, recurring billing, projects and tasks, subscriptions, inventory where relevant, and financial reporting, all scoped to your business. You're not buying modules off a menu; we build the ones your workflow requires.

What if we need features that aren't listed here?

Then we build them. Every system is written from scratch for your business, so there's no plan tier or add-on store in the way. Tell us what you need during discovery, or even after launch, and it gets built into your system.

Is custom ERP overkill for a small business?

The opposite, usually. Enterprise ERP is overkill; a custom build is right-sized. If your team stitches together an accounting tool, a proposal tool, a project tracker, and several spreadsheets, a single system shaped to your process is smaller, faster, and cheaper over time than the stack it replaces.

Can it handle multiple companies and currencies?

Yes. We've built ERPs that run several legal entities from one login, each with its own currency and ownership structure, with a consolidated view that normalizes everything for group reporting. Exchange rates are frozen on each record, so historical reports never shift under you.

Does it replace QuickBooks or our accountant?

It complements them. The ERP is your operating layer: quotes, invoices, recurring billing, splits, projects, and live visibility. Everything exports cleanly to CSV for your accountant or bookkeeping software. We can also integrate directly with accounting tools where it's worth it.

How long does a custom ERP take to build?

Most Orbit Systems ERP builds run 6 to 10 weeks from kickoff to launch depending on scope. Discovery comes first: we map the work precisely and quote a fixed scope before any code is written.

Do we own the system?

Completely. The code, the data, and the system are yours, with no per-seat fees and no vendor lock-in. Most clients keep us on a support retainer for hosting and improvements, but that's your choice, not a requirement.
